The purchase of any service offered by Viland Travel constitutes a contractual arrangement between you (the customer) and Viland Travel, and represents your acceptance of Terms & Conditions set out herein by Viland Travel. Please ensure that you read carefully and understand these Terms & Conditions prior to booking of any service with us.
Enquiries and reservations are made to our headquarter office in Hanoi or authorised sales agents in and/or out of Vietnam. In order for us to assist your requirements, you are required to furnish us with as much information as possible, such as arrival and departure dates, flight details, number of travellers, tour requirements and type of hotels.
Our quotation will be provided as the price for the travel arrangements required by you. Each quotation is valid for a period of 7 days only, unless otherwise stated.
Deposit and Final Payment:
After receiving our written confirmation, a 20% deposit of the total cost is required to complete the reservation. We accept payment by cash, credit card (Visa or MasterCard) and PayPal (online payment system). Your travel arrangement is not deemed confirmed until the deposit is received by Viland Travel. A non-refundable deposit of 20% is required for us to book your travel arrangements in advance with our travel business partners. The final payment is due 12 days prior to the commencement of the first service of the travel arrangements, unless otherwise stated.
If we do not receive final payment by the due date, we reserve the right to cancel the reservation without notice. In the case of billing error, we reserve the right to re-invoice with the correct price. Full payment is required at time of booking for reservations made by the final payment date.
Note: In cases where credit facilities have been agreed with the client and/or agent, payment shall be made to Viland Travel account, PayPal or authorised person-in-charge. Please note that 3% service charge will be added for payment by credit cards and PayPal.
2. Cancellation Policy
All cancellations must be received and confirmed in writing by email. The following rules apply for cancellations:
If the cancellation notice is received by Viland Travel before the final payment date, your non-refundable deposit and Travel Protection premiums will be forfeited in addition to any flight cancellation fees or penalties. For individual reservation, the cancellation fees per person apply.
40 Days before tour date: 50% of deposit shall be refunded.
20 Days before tour date: 40% of deposit shall be refunded.
15 Days before tour date: 30% of deposit shall be refunded.
There is strictly no refund for any cancellation made within 12 days before the departure date.
If flight change, including flight cancellation, is requested by the customer, standard revision fees or airline cancellation fees shall apply. If an air-inclusive itinerary is cancelled after air tickets have been issued to the customer, refunds will only be processed after such air tickets are returned to Viland Travel by the specified period of time.
We reserve the right to cancel or re-schedule any departure date. If cancellation is made prior to departure, the only responsibility of Viland Travel will be to refund back to the passenger the amount we have received for the reservation. We will try to re-book the same travel arrangement with a different departure date, or a similar travel arrangement. When Viland Travel has confirmed flights from the respective airline, we will try to confirm the new flight schedule for the selected dates, subjected to availability. Viland Travel cannot assume responsibility for any additional costs or any fees relating to the issuance and/or cancellation of air tickets, or other travel arrangements not made through Viland Travel.
During Vietnam public holidays and special festivals such as Christmas Day, New Year Day, Lunar New Year’s Eve and Lunar New Year, there can be a holiday surcharge levied by the respective tour operators.
The price of the Travel Arrangement is subjected to the inclusion of surcharges. Surcharges may be incurred (without limitation) in connection with the currency exchange rates, increases in product prices, fuel levies, scheduled airfares, hotel and ground transportation charges, entrance fees and any other price increase associated with the Travel Arrangement.
Viland Travel has a Force Majeure policy in place. It may cancel and levy appropriate cancellation charges as its sole option, where circumstances outside of its control affect the provision of Travel Arrangements, including act of God, flood, fire, war or threat of war, physical unrest, riots, civil disturbances, terrorist activities, strikes, port or airport closure and technical problems with transport, alteration or cancellation of scheduled travel services.
4. Price Exclusion
International Air Transportation tax; agricultural tax; security fee; airport taxes and fees; port taxes; passports; visas and vaccinations; tips to your driver, local guides, cruise ships; laundry; telephone; mini bar; alcohol, beverages, optional excursions; porterage at airports and train stations; travel protection; excess baggage fees; and all other items of a personal nature unless otherwise stated.
Please note that this list is not exhaustive, and may include new exclusions from time to time according to every travel arrangement. Always check with your Viland Travel tour consultant for advice if unsure.
5. Customer Interest
For the benefit of all customers, Viland Travel reserves the right to accept or reject any customer and to remove any customer whose conduct is deemed disruptive and will potentially affect the interests of the other customers.
6. Young Traveller
Travelers who are less than 18 years old before the departure date must be accompanied by an adult. For any special requirements regarding airline tickets for children, please contact your airlines directly. If your flight is booked by Viland Travel, please check with your Viland Travel tour consultant for advice.
Smoking is prohibited on any type of transportation that is exclusively provided by Viland Travel. Smoking is also prohibited in non-smoking public areas according to international and Vietnamese laws.
8. Visa and Passport
All customers travelling internationally are required to hold valid passports from their respective countries. Most countries require that the passport be valid for at least six (6) months before the travel date. It is recommended that you have a minimum of three blank pages in your passport before travelling as many countries require sufficient blank pages as one of the requirements to travel. It is your sole responsibility to check with your country authority to verify all requirements before travelling.
The accommodation listed in the brochure or on this website are intended for all departures of tours offered by Viland Travel. However, if a change is required for any reason, the accommodation replacement will be equivalent in standard to the previous one. Every effort is made to reserve only twin-sharing rooms unless otherwise requested for double-sharing rooms. Please note that check-in and check-out timings vary from accommodation to accommodation.
10. Public Holiday
During Vietnam public holidays, special festivals, weekends and religious occasions, certain destinations such as museums, churches, restaurants, sightseeing and shopping tours may be restricted or not be available. The best alternatives will be offered whenever possible.
The company reserves the right to accept or reject any customer; to remove any customer from the tour; to make changes in the itinerary whenever the company deems it necessary for the comfort, convenience, or safety of other customers.
Every customer shall agree that neither the company nor its affiliates shall be liable for any damage, loss (including personal injury, death, and property loss), or expense arising by any act or omission of any supplier providing services, any insurer or any third party.
Viland Travel is not liable for, and accepts no responsibility for any direct or indirect loss, financial loss, consequential loss, loss of enjoyment, pain and suffering, damage, injury, accident delay or irregularity arising to the customer, whether caused by act, omission, negligence or otherwise, while undertaking a Travel Arrangement, using the services or arising from any booking.
Viland Travel strongly recommends that all customers insure themselves against loss of deposit, cancellation charges, medical expenses, loss of personal possessions, and any other possible loss or expense as they deem necessary.
12. Itinerary and Voucher
A printed copy of the customer’s itinerary and vouchers to be used according to the itinerary will be issued to the customer upon arrival by a Viland Travel representative.
13. Liability and Insurance
With the business motto “To satisfy all customers with the best services at reasonable rates”, Viland Travel is committed to do our best to provide all customers with the best services at the maximum service capacity. In order to assure our customers of high quality services, 50% cost of any service purchase will be refunded to customers after the tour in the event that such service used does not meet the usual service commitments due to any misperformance by Viland Travel.
All customers are strongly advised to purchase their preferred personal travel insurance by themselves.
